PROJECT OVERVIEW

A couple of key concerns for clients considering a move to cloud technology is making sure the new systems are embraced by staff and they can be supported moving forward. The idea of change can be daunting for staff and even more daunting for management who are trying to drive multimillion dollar businesses.

To address this, Inspired has devised a full Project Management service to ensure firstly that the cloud solutions are the right choice for clients, and that the transition process has minimum disruption to staff and the running of the business.

Inter-Chillers are a leading provider of chiller installation and maintenance services as well as other HVAC equipment rehabilitation, repair and replacement services. They got in contact with Inspired with an objective to transition from ERP desktop software to less cumbersome, modern cloud solutions.

Inspired Org got started by organising a Scoping Day for Inter-Chillers with simPRO software staff to review current  business processes and confirm the operation of the business would benefit from a move to simPRO and Xero. Advice was given by Inspired Org from an accounts processing and reporting perspective and simPRO advised on the functionality of Job Management.

Developing the solution

Some of the immediate improvements identified in the scoping day were:

  • Several excel spreadsheets would no longer be required to run a P&L or any Management Reports. This could now be completed with real time data with the push of a button
  • Software updates would happen automatically
  • Support for both simPRO and Xero would now be available from simPRO, Xero or Inspired Org in a faster time frame. Responses from overseas support services in different time zones would not be required

Once the scoping session was completed, Inter-Chillers were able to transition to the new systems over a three month period with Inspired Org providing a detailed pathway outlining the following tasks:

  • Moving the accounting data to Xero
  • Setting up simPRO with Client Specific Jobs
  • Training Key Staff on both Xero and simPRO
  • Monitoring tasks to ensure the project progressed in line with the agreed timeframe
  • Providing ongoing support when Staff began using the new programs
A Great Result

From the scoping session, key stake holders from Inter-Chillers, simPRO and Inspired Org were identified and allocated to the tasks to ensure the transition stayed on track and moved forward.

Inter-Chillers proceeded on the new systems with Inspired Org on hand for any ad-hoc questions. After three months Inspired Org followed up with a simPRO & Xero Health Check to give Inter-Chillers some feedback on how staff were using the new systems. The systems were working well but Inspired were able to identify and assist to implement further applications to streamline senior accounting reports like Cashflow Forecasts and Budgets.
